Our Commitment to Your Privacy
LexisScale ("LexisScale", "we", "our", or "us") is an AI-powered client acquisition agency based in Limpopo, South Africa, serving law firms across South Africa and the United States. We take privacy seriously — both for the law firms we work with and for the individuals who interact with our systems.
This Privacy Policy explains what personal information we collect, why we collect it, how we use and protect it, and your rights regarding that information. By visiting our website or engaging with our services, you agree to the practices described in this Policy.
SECTION 1
Information We Collect
We collect information in the following ways:
Information you provide directly
Name, email address, and phone number submitted through our landing page or contact forms
Business details such as firm name, practice area, and location
Any information you share during a sales call or onboarding process
Information collected automatically
IP address, browser type, and device information when you visit our website
Pages visited, time on site, and referral source (via cookies and analytics tools)
Ad engagement data from Facebook and Google ad platforms
Information collected on behalf of our law firm clients
When we deploy our AI voice agent (Retell AI) for a client law firm, that agent may collect caller name, phone number, details of a legal matter, and appointment booking data
This data is collected to qualify leads and book consultations on behalf of the law firm — we act as a data processor, and the law firm acts as the data controller for their own client data
SECTION 2
How We Use Your Information
To contact you regarding your enquiry and qualify you as a prospective client
To schedule and confirm sales consultations via our calendar systems
To set up and manage your AI lead acquisition system if you become a client
To improve our advertising, messaging, and service delivery
To send service-related communications (confirmations, updates, reports)
To comply with applicable South African and US legal obligations
We do not sell, rent, or trade your personal information to any third party for marketing purposes. Ever.
SECTION 3
Third-Party Tools & Data Processors
To deliver our services, we use a number of third-party platforms. Each has its own privacy policy and security practices:
GoHighLevel (GHL) — CRM, pipeline management, and automation
Retell AI — AI voice agent platform used to make outbound qualification calls
Meta Ads Manager / Google Ads — advertising platforms for lead generation
Calendly — calendar scheduling for consultations
HeyGen — video and ad creative generation
We take reasonable steps to ensure these processors maintain appropriate data security standards. However, we are not responsible for the independent privacy practices of these third parties.
SECTION 4
Voice Calls & AI Agent Disclosure
Our AI voice agent (powered by Retell AI) may place outbound calls to individuals who have submitted an enquiry form, whether that form belongs to LexisScale directly or to a law firm client we serve.
Individuals contacted by our AI agent are informed at the outset of the call that they are speaking with a virtual assistant. The agent does not provide legal advice and is not a licensed attorney.
Call data — including a summary of the conversation and any information shared — is logged in our client's CRM (GoHighLevel) for the sole purpose of connecting the individual with the appropriate attorney.
Calls may be recorded for quality assurance purposes in accordance with applicable law. Where required, callers will be notified of any recording.
SECTION 5
Data Retention & Security
We retain personal information for as long as is necessary to fulfil the purposes described in this Policy, or as required by applicable law. When data is no longer needed, we delete or anonymise it.
We implement reasonable administrative, technical, and physical safeguards to protect your information from unauthorised access, loss, or misuse. No method of internet transmission is 100% secure, and we cannot guarantee absolute security.
SECTION 6
Your Rights
Depending on your location, you may have the following rights regarding your personal information:
South Africa (POPIA): Right to access, correct, delete, or object to the processing of your personal information
United States (varies by state): Rights under applicable state privacy laws including CCPA (California), where relevant
Right to withdraw consent at any time where processing is consent-based
Right to lodge a complaint with a relevant data protection authority
To exercise any of these rights, contact us at the details below.
